                              Executive Administrative Assistant

A Global Molecular Diagnostics Company in Lodi, CA  is actively seeking an experienced Executive Assistant to provide top-notch support to their brilliant VP and, as needed, executives of the Americas Manufacturing Team.  This is an excellent opportunity to join a collaborative team and partner with a company that is focused on innovative work in global health solutions.

In this role, you will have the opportunity to:

  • Coordinate complex scheduling and extensive calendar management.

  • Process expense reports in SAP Concur in a timely manner.

  • Record actions from daily management meetings and provide assistance with following up on work completion.

  • Manage all travel which includes close coordination with various groups locally and internationally, visa preparation, organization of ground transportation, booking hotel reservations, registering for conferences, food preferences, etc. This will also require the flexibility and agility to deal with unexpected travel updates if/when schedules change both before and during trips.

  • Act as the point of contact between the executive and internal or external colleagues

  • Prepare reports, presentations, and data, as well as maintains files, records, and correspondence.

  • Be responsible for all logistics of both large and small meetings, including conference room reservations, teleconference & video conference set-up, food ordering, and associated meeting logistics, including related social activities.

The essential requirements of the job include:

  • Associate’s degree with 5+ years of experience or High school diploma with 7+ years of administrative assistance supporting high-level executives.

  • Excellent communication skills, including texting and emailing, with an ability to respond in a timely manner with professionalism in verbal and written communications with all levels of the organization.

  • Excellent computer skills using Windows and MS Office, which includes Outlook (e-mail and calendar management), Word, Excel, Teams, Co-pilot, and PowerPoint.

  • Excellent attention to detail and commitment to excellence to perform duties at the highest level possible on a consistent basis.

  • Must have the ability to prioritize and apply sound judgment, and the ability to juggle multiple demands simultaneously.

Additional Information:

Typical business hours, Monday through Friday, at the Lodi, CA location.
