Job Title: Front Desk Administrative Assistant
Location: San Jose, CA
Job Description:
As a Front Desk Administrative Assistant, you will be the first point of contact for visitors and play a pivotal role in delivering exceptional customer service. You will interact with a diverse group including customers, contractors, new hires, visiting employees, and job applicants. This position operates in a fast-paced environment and represents the face of the company.
Essential Functions:
- Greet clients and visitors with a positive, helpful attitude
- Notify appropriate company personnel of visitor arrival
- Manage daily food deliveries; escort delivery personnel to drop-off locations
- Ensure workplace security by issuing, checking, and collecting badges and maintaining visitor logs
- Support various administrative tasks: copying, note taking, filing, and documentation
- Keep the reception area safe and clean by complying with company procedures, rules, and regulations
- Answer phones professionally and route calls as necessary
- Assist colleagues from multiple departments with administrative tasks
- Provide excellent customer service to all stakeholders
- Schedule and follow up with vendor appointments
- Maintain paper and electronic documents
- Perform any other assigned duties
Requirements:
- 2–3 years customer service/front desk experience
- High school diploma or equivalent
- Proficiency in Microsoft Word and Microsoft Teams
- SAP experience preferred
- Detail-oriented with excellent communication skills
- Ability to meet deadlines and work professionally at all times
