$20.00 – 22.00/hr

Role Description: As part of the marketing team, the Aministrative Coordinator role will entail the organization and management of marketing activities, including company Culture activities, while prioritizing answering and dispatching calls.
Responsibilities:

  1. Manage logistics related to packing the booth, shipping/receiving the booth, and ordering giveaways.

  2. Organize, order, and distribute employee uniforms and materials, especially during new hire and acquisition scenarios.

  3. Coordinate training events held at the Tampa office.

  4. Organize appropriate giveaways and print marketing materials as needed.

  5. Answer incoming calls on the main line and provide excellent customer service.

  6. Direct callers to the appropriate departments or individuals within the organization.

  7. Manage phone and dispatch activities for Ultrasound Service.

  8. Utilize Service Fusion to dispatch service calls and escalate them as necessary.

  9. Follow up on service calls to ensure completion of the escalation procedure.

  10. Enter client contacts for Field Service Engineers (FSE) in Salesforce.

  11. Handle third-party service invoicing.

  12. Collaborate with the marketing team to develop and implement a culture team/organizational strategy.

  13. Assist in organizing 2-3 global events annually.

  14. Contribute to the planning and execution of company parties and events.

  15. Develop and manage a program to recognize employee work anniversaries and other significant milestones.

Qualifications:

  • Previous experience in marketing coordination or related roles preferred.

  • Excellent organizational and time management skills.

  • Strong attention to detail and ability to multitask.

  • Effective communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite.

  • Familiarity with Salesforce and Service Fusion is a plus.

  • Ability to work collaboratively within a team environment.

  • Flexibility to adapt to changing priorities and deadlines.
