Job Description: Front Office Administrator
Working Details
- Schedule: Monday to Friday, 8:00 AM – 5:00 PM
- Compensation: $20 – $25 per hour, depending on experience (DOE).
- Location: In-person position based in Honolulu, HI 96813.
Responsibilities
- Answering Phones: Manage incoming calls with a professional demeanor.
- Mail Handling: Process incoming and outgoing mail efficiently.
- Courier Coordination: Schedule and manage courier pick-ups and deliveries.
- Office Appearance: Ensure general tidiness of public areas within the office.
- Client Interaction: Greet clients, consultants, and industry representatives warmly.
- Calendar Management: Coordinate and maintain schedules for lunch and learn presentations, conference rooms, vacation requests, travel plans, and incoming logs.
- Document Processing: Perform word processing tasks including transmittals, editing documents, and correspondence.
- Spreadsheet Management: Use Excel for completion and maintenance of logs and proposals.
- Travel Arrangements: Manage and organize travel plans for staff.
Minimum Qualifications
- Detail Oriented: Possess excellent communication skills, with an ability to multi-task and stay organized. Must be flexible and work well as part of a team.
- Experience: Minimum of 2 years’ experience in receptionist or front office duties is required. Experience in an architectural or engineering firm, or related industry is preferred.
- Technical Skills: Proficient in MS Office (Word and Excel) and Google G-Suite. A typing speed of 55 words per minute is necessary.
