Pay Rate: $21.42 per hour

What’s a typical day as a  Administrative Assistant I ? You’ll be:

  • Responsible for a specific departmental process/system which entails following standard work guidelines while performing specific job-related tasks (e.g., creation of work orders, scheduling, and customer service)

  • Will follow company policy and procedures to ensure quality metrics are met, comply with specific deadlines, and follow through with all assignments

  • Provide confidential and administrative support to executive schedules/calendars

  • Make travel and lodging arrangements for both domestic and international travel as requested

  • Meeting logistics for Marketing, POC IT, Training, Finance and Service Teams

  • Provide logistics for event planning, both small and large groups, both on-site and off-site related to needs of direct reports and their staff

  • Provide Card expense reconciliation for VP, Marketing

  • Active partner with Sales in the planning, setups, and running of the annual National Meeting

  • Assist in arrangements of National Shows (AACC, AARC, etc)

  • Assist with Regional Show banner orders and literature requests

  • Literature stocking and ordering

  • Shipping requests / includes back-office requests as needed

  • Check requests / Purchase Orders

  • Setup and coordinate hotel arrangements, meeting rooms, and F/B for different General Support

  • User Testing: Responsible for meeting coordination and logistics

  • Vendor screening (forms/approvals)

  • Liaison to Facilities

  • Gift/flower orders for life events

  • Engagement Committee team member

This job might be an outstanding fit if you:

  • High School, equivalent or degree in related field preferred

  • Proficient with Microsoft applications and various software packages including but not limited to Excel and Outlook

  • Excellent problem solving and analytic skills

  • Ability to work independently as well as within a team environment

  • Strong attention to detail

  • Communicates in a timely, proactive manner

  • Strong communication skills – both written and verbal

  • Must be organized, self-motivated, detail oriented, attentive to deadlines and a team player

  • Ability to prepare concise and accurate reports

  • Ability to precisely follow instructions

  • Aptitude for learning new programs and processes

  • Knowledge of Salesforce software and administrative experience is a plus
