Job Description: Administrative Assistant I

Location: Colfax, NC
Position Type: Full-Time
Pay Rate: $16/hour
Work Schedule: Monday–Friday, 8:00 AM–5:00 PM, with a one-hour lunch break

Overview:
We are seeking a reliable and organized Administrative Assistant I to support our office and shop operations. The primary responsibility of this role is to assist with the scanning and organization of files while performing general administrative tasks. The ideal candidate will be proficient in Microsoft Excel and Word, comfortable with physical tasks such as navigating stairs, and capable of handling occasional receiving duties in the shop.

Key Responsibilities:

  • File Scanning and Organization: Scan and digitize documents stored in banker boxes, ensuring accurate and efficient file management. Maintain an organized digital filing system for easy retrieval.

  • Administrative Support: Utilize Microsoft Excel and Word to create, edit, and manage documents, spreadsheets, and reports as needed.

  • Physical Tasks: Navigate stairs to access file storage areas and the copier located downstairs. Handle banker boxes containing files, which may require lifting and carrying.

  • Receiving Duties: Assist with receiving and inspecting parts in the shop, ensuring accurate documentation and organization of incoming shipments.

  • General Office Support: Perform additional clerical tasks such as data entry, answering phones, and coordinating with team members to ensure smooth office operations.

  • Collaboration: Work closely with office and shop staff to support daily operations and maintain a productive work environment.

Qualifications:

  • Education: High school diploma or equivalent required.

  • Skills:

    • Proficiency in Microsoft Excel and Word.

    • Strong organizational skills and attention to detail.

    • Basic computer skills for scanning and file management.

    • Ability to handle physical tasks, including climbing stairs and lifting banker boxes (up to 30 lbs).


  • Experience: Prior experience in an administrative or clerical role is preferred but not required. Experience with scanning or inventory management is a plus.

  • Attributes:

    • Reliable, proactive, and able to work independently or as part of a team.

    • Strong time management skills to prioritize tasks effectively.

    • Comfortable working in a fast-paced environment with occasional physical demands.

Physical Requirements:

  • Ability to navigate stairs frequently to access file storage and copier.

  • Capable of lifting and moving banker boxes and shop materials as needed.

  • Comfortable standing, walking, and performing light physical tasks in the shop environment.

Work Environment:
The role involves working in both an office and shop setting. The candidate will split time between administrative tasks in the office and occasional physical tasks in the shop, including receiving parts and handling file boxes. The position requires frequent trips up and down stairs due to the location of files and equipment.
