Job Title: Administrative Assistant  Finance Department
Location: Remote
4-6 month project
$20-$25 based on experience

Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Finance Department. This remote position plays a key role in maintaining accurate financial records, supporting accounts payable and receivable processes, and ensuring smooth job and vendor tracking.

The ideal candidate is efficient, dependable, and comfortable working with accounting platforms like QuickBooks Online and third-party billing systems. If you enjoy keeping things organized, entering data with precision, and helping a team run smoothly, we¿d love to hear from you.

Key Responsibilities
Vendor and Job Tracking
Review and verify vendor invoices for accuracy and appropriate job alignment.
Enter and update job information in the job tracking system.
Archive and reconcile completed jobs.
Complete and submit Interstate Credit Reference forms as needed.
Data Entry & Financial System Support
Accurately enter vendor bills into QuickBooks Online (QBO).
Assist with inputting financial metrics and KPIs into tracking tools.
Invoicing & Accounts Receivable
Prepare and submit invoices through third-party platforms, including:
Lessen
Service Channel
Concentra
Maintain and update accounts receivable reports and follow up as directed.

Qualifications
High school diploma or equivalent required; associate degree or coursework in accounting, business, or a related field is preferred.
Minimum 1 year of experience in an administrative or finance support role.
Experience with QuickBooks Online (QBO) and Microsoft Excel preferred.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities and meet deadlines.
Excellent communication skills and a positive, team-focused attitude.
Must be comfortable working remotely and independently.
