Remote/Hybrid 3 days per week in the office

Job Description:
We are seeking a Senior Administrative Assistant to provide executive support to the Vice President of Research & Development and the Vice President of Marketing. This temporary opportunity offers the potential for contract-to-hire and involves playing a significant role within our dynamic and growing team.
Duties and Responsibilities:

Leadership: Offer executive support to senior management, including the VP of R&D and the VP of Marketing.

Office Management: Oversee daily office operations to ensure efficiency and adherence to organizational policies.

Team Leadership: Supervise administrative staff in the Marketing and R&D teams, providing guidance, training, and performance evaluations.

Meeting Coordination: Organize and coordinate meetings, events, and travel arrangements for senior management in collaboration with HST Leadership administration.

Communication Management: Handle sensitive correspondence and communications, ensuring confidentiality and professionalism.

Budget Oversight: Assist in budgeting and expense tracking, ensuring compliance with financial policies, and manage travel and expense reports.

Project Management: Monitor and report on administrative activities and project progress, providing updates to senior management.

Resource Management: Maintain and manage office supplies and equipment, ensuring availability and functionality.

Compliance Assurance: Ensure compliance with organizational policies, regulations, and best practices.

Special Projects: Manage special projects and other duties as assigned.
Qualifications:
- Location Preference: Candidates should preferably be based in Deerfield, IL.
- Communication Skills: Must possess excellent oral and written communication skills to effectively engage with high levels of the organization.
- Independence: Ability to work independently and identify proactive solutions to complex situations.
- Multitasking: Manage multiple tasks with a high attention to detail and a high degree of accuracy and timeliness.
- Technical Skills: Advanced Microsoft Office skills.
Education/Experience:
- Education: High school diploma or equivalent required; Associate degree or professional certification preferred.
- Experience: 8+ years of experience supporting leadership staff as a Senior Administrative professional.
