About the Role:
We are currently seeking a highly organized and customer-focused Community Administrator on behalf of a well-established real estate client in Ottawa. This is a fantastic opportunity for someone who thrives in a dynamic environment and enjoys building strong relationships with residents and internal teams.
In this role, you will be the primary point of contact for residents, managing day-to-day administrative operations and ensuring an exceptional level of service. You will also play a key role in supporting lease administration, rent collections, and compliance with housing regulations.
Key Responsibilities:

Process and record rent payments, prepare deposits, and monitor resident ledgers

Report on accounts receivable and manage rent arrears
-
Prepare and deliver legal documentation (e.g., Termination Notices, Rent Increases) in accordance with the Residential Tenancies Act (RTA)

Handle resident move-ins and move-outs, including deposits and account balances
-
Maintain accurate and confidential resident records
-
Respond to resident inquiries, complaints, and emergencies – during and outside office hours

Deliver legal notices (Notice to Enter, Notice to End Tenancy, etc.)

Code invoices and support accounts payable processes

Provide leasing support when Leasing Representative is unavailable

Order office supplies and manage general administrative tasks

Prepare reports (Delinquency, Pre-Authorized Payment, etc.) as needed

Participate in the on-call rotation for after-hours support

Promote and support sustainability and corporate responsibility initiative
Qualifications:
-
Post-secondary education in Business Administration or a related field (an asset)

1+ years of experience in residential property management (an asset)

Strong verbal and written communication skills (English)

Proven customer service orientation and resident relations skills

Ability to build strong working relationships with residents, contractors, and internal teams

Self-motivated, professional, and adaptable to change

Strong organizational skills with the ability to manage multiple priorities under pressure

Excellent problem-solving and conflict resolution skills

Detail-oriented, results-driven, and capable of handling confidential information

Proficiency in Microsoft Office (Word, Excel, Outlook)

Experience with Yardi or other property management software is a strong asset
