Position Overview
We are seeking a friendly and organized Receptionist to serve as the first point of contact for our customers company. The Receptionist answers incoming calls, greets and directs visitors including vendor representatives to their meeting destinations, and provides telephone system support such as voice mail and speed dial programming. This position also manages conference and training room reservations using Outlook Calendar. Additionally, the Receptionist will assist the Accounts Payable department by answering vendor inquiries regarding invoice payment status and will collect, code, and mail freight invoices to Data Freight for processing.
Essential Duties and Responsibilities
Telephones and Greeting
- Answer incoming calls promptly, professionally, and courteously.
- Forward calls to the appropriate person and/or department.
- Greet and direct visitors and vendor representatives to their destinations.
Telephone System Support
- Instruct employees on telephone use.
- Program and maintain voicemail, speed dial, and other telephone features as required.
Room Reservations
- Reserve conference and training rooms efficiently using Outlook Calendar.
Accounts Payable Support
- Answer vendor calls regarding invoice payment status.
- Collect, code, and mail freight invoices to Data Freight for timely payment.
General Support
- Provide willing and proactive support to ensure smooth office operations.
Education & Experience
- High School diploma or equivalent required.
- Basic computer skills, including proficiency in MS Excel, Word, and Outlook.
- Must successfully pass a company drug screen, physical, and background check.
Physical Requirements
- Occasionally required to stand, walk, sit, use hands to manage objects/tools, reach with arms, climb stairs, stoop, kneel, or crouch, and communicate verbally.
- Must be able to occasionally lift and/or move up to 20 pounds.
- Specific vision abilities required: close vision, distance vision, color vision, and ability to adjust focus.
- Work environment noise level is usually moderate.
- A consistent and reliable on-site presence is essential.
