Office Administration Specialist – Hybrid (2 days remote, three days in office
Position Overview:
Charged with supporting essential office functions, overseeing inventory, vendor interactions, and equipment, and managing a range of administrative tasks.
Pay: $20.00 – $21.00 / hr, commensurate experience
Primary Responsibilities:
- Manage incoming calls and greet visitors with professionalism and courtesy, promptly addressing their needs. Appropriately filter inquiries before referring them onward. Resolve member service concerns constructively, ensuring interactions remain positive and do not reflect negatively on staff or departmental teams.
- Collaborate with the Director overseeing Company Culture & Connection, contributing to special projects and day-to-day office operations, including administrative support, handling data, and assorted responsibilities.
- Coordinate purchasing and upkeep of office supplies and equipment. Address facility matters, liaise with external service providers, and facilitate building and grounds maintenance.
- Administer culture-related platforms and software, as well as the SharePoint Intranet page devoted to Culture & Connection, ensuring up-to-date and accurate information. Organize travel and accommodation logistics for staff, and oversee receipt documentation for management and executives when needed.
- Sort and route incoming mail and packages as required, label deliveries, and provide help with outbound shipments. Maintain order and cleanliness in the reception zone daily, guaranteeing consistent staffing at the front desk.
- Support initiatives that reinforce company culture and staff engagement, including employee communications, recognition programs, sports, fundraising activities, and social events tied to food service. Participate in the CARE Committee and suggest improvements to organizational programs.
- Carry out other assignments that may be delegated as related to this role.
Qualifications and Competencies:
- Experience: At least one to three years’ experience in a similar administrative capacity.
- Education: Completion of an associate degree, or specialized certification/licensing, or vendor-led training, or job-relevant apprenticeship or skill development.
- Interpersonal Abilities: Regular interaction with colleagues and external contacts, focusing on conflict management, relationship building, and cooperative efforts. Must approach discussions with confidentiality, diplomacy, and tact.
- Additional Capabilities:
- Excellent organizational skills and ability to monitor timelines.
- Effective communicator, both verbally and in writing.
- High level of attention to detail and precision.
- Commitment to upholding confidentiality.
