Title: Document Controller/Project Administrator
Location: Port Arthur, TX (hybrid – Ideal candidate must live close to Houston or Port Arthur Area)
Job Type: Contract – 1+ year (Full Benefits/PTO included)
Pay Rate: $25-$40/HR – based on experience

SUMMARY

The Document Control & Project Administrator oversees the organization, management, and distribution of all project-related documents in a structured and prompt manner. This position ensures that documentation is accurately maintained, traceable, and readily accessible to authorized parties. A leading document management platform serves as the primary tool for information management and collaboration. The role is pivotal in facilitating project delivery by upholding document control standards, ensuring data reliability, and fostering consistent utilization of digital project tools among the team.

 

RESPONSIBILITIES
Project Administration & Document Control

  • Assist the project team with a full range of document control and administrative functions

  • Oversee the entire lifecycle of documents, including receiving, review, approval, distribution, and final archiving

  • Ensure all documents meet required quality, procedural, and contractual standards

  • Maintain precise and auditable records of document receipt, issuance, revisions, sign-offs, and approvals

System Management – Procore

  • Use Procore as the main document control system for the project

  • Administer various project management modules (such as drawings, documents, RFIs, submittals, etc.)

  • Maintain correct versioning, classification, and metadata for all project records

  • Assist with initial system setup, define permission levels, and structure system folders and workflows

  • Encourage and guide consistent and effective use of the document management system by all participants

Reporting & Document Governance

  • Apply and reinforce document governance protocols, seeking opportunities for ongoing improvements

  • Track the progress of document reviews and ensure responses occur within expected timeframes

  • Generate regular reports and metrics related to document control activities

  • Carry out periodic document checks and audits as required

Quality & Records Management

  • Manage both electronic and physical storage of controlled documentation

  • Validate documents for accuracy, completeness, and adherence to formatting standards

  • Develop and update templates for use in project documentation

  • Safeguard confidential information within all documentation processes

  • Supervise secure retention and, where needed, destruction of controlled records

Coordination & Communication

  • Manage flow of documentation within the team and with external parties

  • Guarantee that documents are shared promptly to meet project scheduling needs

  • Identify and escalate any potential concerns or risks related to documentation

 

QUALIFICATIONS

  • 5+ years of experience in document control roles for large engineering, procurement, construction (EPC), or complex infrastructure projects

  • Hands-on experience with Procore is strongly preferred (prior experience with Documentum or Box helpful)

  • Skilled in Microsoft Word, Excel, and PowerPoint

  • Minimum Associate Degree required

  • Strong communication, coordination, and organizational skills

  • Capable of managing high document volumes

  • Attention to detail and robust processes for ensuring documents remain traceable

  • Strong dedication to compliance standards and process optimization
