Position Overview
Kelly is seeking a polished and proactive Administrative Assistant – Office Administrator to serve as the face of the office in Kearny, NJ.
This role is critical to daily operations and requires someone who can build strong rapport with employees, customers, and vendors while managing a wide range of front office responsibilities.
This is an excellent opportunity for someone who thrives in a professional, team-oriented office environment and enjoys providing high-level administrative support.
Key Responsibilities
Front Desk & Office Support
- Answer and route incoming calls
- Provide general administrative and office support
- Act as concierge for visitors and guests
- Greet customers, vendors, and visitors professionally
- Manage visitor badges and monitor guest access
Office Coordination & Hospitality
- Maintain and replenish hospitality lounge supplies
- Keep breakroom stocked with coffee and utensils
- Coordinate catering for meetings and events
- Arrange car services/Uber for guests and sales meetings
- Manage conference room calendar
Travel & Expense Support
- Book travel arrangements for out-of-town visitors and guests
- Maintain front office expense reports and submissions
HR & Administrative Support
- Assist with employee onboarding activities
- Provide general HR administrative support
- Support facility improvement projects
Vendor & Facilities Coordination
- Manage vendors for facility needs (janitorial, office supplies, etc.)
- Partner with Quality, Environmental, Health & Safety teams to maintain compliance with safety and operational standards
Qualifications
- Associate’s degree or higher preferred
- 2–3 years of administrative or executive administrative experience
- Proficiency with Microsoft Office 365 and SharePoint
- Experience with SAP Concur for travel arrangements preferred
- Self-motivated, proactive, and highly organized
- Strong interpersonal and customer service skills
- Ability to multitask in a fast-paced office environment
