Job Summary
The Distribution Customer Service Representative is responsible for performing a wide range of customer service and administrative duties. This role includes responding to customer inquiries, processing orders and receipts, and resolving complaints in a prompt, courteous, and effective manner. Additional responsibilities include answering and routing phone calls, greeting visitors, scheduling appointments, and performing other clerical duties as assigned by the Customer Service Supervisor or Office Manager.
Essential Duties & Responsibilities
- Maintain positive working relationships with customers by responding to inquiries and resolving complaints related to work orders, invoices, shipments, and inventory counts in a professional manner.
- Process and enter customer orders accurately into the system.
- Generate stock reports to verify product availability.
- Prepare all required documentation and information related to customer work orders.
- Coordinate special or last-minute shipping requests with the Traffic and Operations teams, expediting orders when necessary.
- Follow up with internal departments to ensure customer service standards are consistently met.
- Verify computer-generated invoices to ensure accurate billing.
- Provide shipping and tracking information to customers as required.
- Maintain damage records and backorder logs.
- Communicate customer feedback to management, including potential concerns or dissatisfaction.
- Serve as a liaison between the warehouse, office staff, and customers regarding order administration, invoicing, and credit adjustments.
- Manage and maintain all documentation and files associated with customer orders.
- Maintain an up-to-date procedure manual outlining processing requirements for each account.
Required Qualifications
- High school diploma or equivalent required.
- Strong computer skills, including proficiency in Microsoft Office applications.
- Basic typing and data entry skills.
- Familiarity with 10-key data entry.
- Experience in warehouse, logistics, or distribution support
- Experience with shipping software systems such as UPS and FedEx.
- Excellent verbal and written communication skills.
- Strong customer service and problem-solving skills.
- Must be able to work in varying facility conditions.
- Ability and availability to work irregular or extended hours, including nights, weekends, and holidays as needed.
