Systems / Lab Support Specialist

Hourly Pay: $22/hr

Summary
We’re seeking a proactive, organized Systems / Lab Support Specialist to manage laboratory systems and support contract/agreement execution. The ideal candidate learns systems quickly, works independently, provides strong customer service, and partners effectively with R&D and business teams.
Key responsibilities
- Execute low- to medium-volume contract tasks with high attention to detail (prepare, route, and track agreements and attachments).
- Serve as first-line contact for system issues: triage tickets, troubleshoot, and escalate to vendors or engineering when appropriate.
- Provide administration and user support for Teamcenter, eMP and TRIP as needed.
- Keep requestors updated on approval status until completion.
- Facilitate and process a variety of agreements, including CDAs/NDAs, MTAs, MSAs, Consulting Agreements, SOWs, Sponsored Research Agreements, and Joint Development Agreements.
- Coordinate with Procurement and R&D to ensure timely review and execution.
- Identify workflow bottlenecks and recommend process improvements to increase execution efficiency.
- Maintain accurate records, trackers, and dashboards for follow-up and audit readiness.
Required skills & experience
- Proven ability to learn and support enterprise systems rapidly.
- Organized, self-motivated, customer-focused, able to manage multiple priorities with minimal supervision.
- Strong verbal and written communication; comfortable with technical and non-technical stakeholders.
- Excellent attention to detail and consistent follow-through for contract processing.
- Familiarity with MS Office, SharePoint, and ticketing systems.
- Experience supporting lab or engineering environments is a plus.
- Basic scientific literacy and ability to communicate with technical teams.
- Experience with medical billing and managing patient files, including adherence to confidentiality and record-keeping best practices.
- Experience creating purchase orders (POs) in medical or clinical settings.
- Administrative assistant experience: calendar and schedule management, handling emails, and general office/management support.
Preferred qualifications
- Prior exposure to contract administration or experience working with Procurement teams.
- Experience with document management, procurement, and learning management systems.
- Background in process improvement or project coordination.
- Comfortable building and maintaining trackers, dashboards, and user documentation.
