Core Responsibilities
- Administrative Support
- Provide professional, proactive administrative assistance to a group of employees under the direction of the OpEx leader.
- Support with meeting logistics (booking rooms, ordering catering, handling visitor requests, securing meeting supplies, and escorting guests).
- Provide professional, proactive administrative assistance to a group of employees under the direction of the OpEx leader.
- Office Coordination
- Receive and distribute mail.
- Maintain inventory and order office supplies as needed.
- Troubleshoot and serve as point of contact for office equipment concerns.
- Schedule meetings and manage calendar changes per leader direction, including operator class hiring interviews.

- Document Management
- Maintain electronic file shares and departmental libraries in accordance with Dow Global Record Manual requirements.
- Oversee document control: slotting, movement, audits, and gap closure for all documentation.
- Work closely with ODMS Element/Section Owners to ensure accuracy and compliance for records and documents.
- Train and coach users on the Document Management System (DMS).
- Serve as Element Focal Point for ODMS 05.03.03 Document & Records Management, ensuring procedure compliance, gap analysis, and effective reviews/communication.
- Maintain electronic file shares and departmental libraries in accordance with Dow Global Record Manual requirements.
- Expense Reporting
- Complete expense reports for all organizational purchases; collect and scan receipts.
- Use Concur or similar tools (preferred experience).

- Continuous Improvement
- Attend department staff meetings.
- Engage with senior admins and offer assistance proactively.
- Identify and help drive efficiency in workflows.

- Physical & Electronic Resource Oversight
- Weekly monitoring of physical libraries and departmental drop boxes.
- Administer the electronic procedure tool, digitizing and organizing procedures as needed.

Schedule & Location
- Schedule: Monday–Friday, 8:00 AM–5:00 PM
- Location: Primarily office-based

Hard Skills:
- Strong attention to detail, high-level organization, and recordkeeping
- Mid-level proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with expense report management and calendar coordination
