Clinical Simulation Administrative Coordinator – Cincinnati, OH
KellyBPO, a managed solution provider and business unit of Kelly Services, Inc., is seeking a Clinical Simulation Administrative Assistant for a long-term position with one of our Global Clients based in Cincinnati, OH.
This is a full-time position with competitive compensation and a comprehensive benefits package including medical, dental, 401k, and paid time off.
Title: Clinical Simulation Administrative Coordinator
Location: Cincinnati area (45242); remote no travel requirements
Pay: open; plus benefits and PTO
Hours: M-F 8am-4:30am
Duration: long term; position will start June 1
Job Description: This role is responsible for supporting the Surgery Clinical Education Specialist team’s operational workflows related to event documentation, data entry, order processing, and quality checks across multiple internal systems. This position ensures accuracy, completeness, and timely routing of information needed for event planning and facility coordination. The ideal candidate is a self-starter with a passion for Microsoft software, and the challenges that go along with data collection and its organization.
Key Responsibilities:
- Document Quote Management Request pending quotes and invoices and route them to the appropriate facility administration team.
- Data Entry Validation Create and submit required system entries for event shells, using the appropriate template
- Validate key information such as facility name, city, state, and all mandatory fields.
- Order Processing Prepare and send product and equipment order details for copying and pasting into the ordering system.
- Process orders for required simulation models harvested animal tissue and synthetic models.
- Guidebook Event Information Entries
- Maintain and update model guidebook entries.
- Cross-System Accuracy Checks Review event entries across multiple internal systems to ensure consistency and resolve discrepancies.
- Data Monitoring Reporting Review dashboards or reporting tools to identify and correct missing or incomplete data fields.
- Complete required training and adhere to all safety, Health Care Compliance guidelines, and environmental standards.
Minimum Experience:
- High School degree is required, but Associate s degree or coursework in Business Administration, Healthcare Administration, Information Systems, or a related field preferred
- 2+ years experience supporting event coordination, order processing, documentation management, or scheduling workflows required
- Additional Education/Experience: Proficiency in Microsoft Office Suite, with an emphasis on Word, Excel, Power Automate, and Outlook
- Comfort working with structured templates, validation rules, and audit checklists
- Exceptional organizational and time-management abilities
- Strong attention to detail and accuracy in data entry
- Ability to connect process flows while working in multiple systems and workflows simultaneously
- Excellent organizational skills and follow-through
- Strong verbal and written communication and problem-solving skills for routing information and collaborating with internal teams
