Job Title: Document Clerk

Purpose of Position: The Document Imaging Technician (Clerk I) is responsible for accurately scanning a high volume of pages to convert printed material into digital images. The individual will perform various clerical duties requiring some knowledge of office systems or procedures.

Key Responsibilities:

  • Prepare documents for scanning: remove staples, clips, bindings, and any physical breaks.

  • Use image scanners to scan original documents and ensure the conversion meets quality and accuracy standards.

  • Set scanner parameters for each job in line with customer specifications.

  • Perform daily maintenance and cleaning of scanning equipment to guarantee image quality and operational efficiency.

  • Log document numbers automatically assigned during scanning for future retrieval and tracking.

  • Enter, write, or type information using MS Word, MS Excel, or other departmental systems to prepare documents or reports.

  • Review all output images to ensure proper sizing, resolution, and overall quality.

  • Photocopy documents as needed.

  • Box records for shipment, with occasional lifting (up to 35 pounds).

  • Maintain an organized workspace that meets high quality standards.

  • Assist team members with additional document preparation as needed.

  • Follow organizational and departmental procedures to complete tasks efficiently and on time.

  • Complete other duties as assigned.

Education/Experience Requirements:

  • High School Diploma or equivalent required.

  • Experience operating high-volume Image/OCR scanners in a production environment or equivalent office technologies is preferred.

  • Proficiency in Microsoft Office Suite and Adobe Acrobat software.

  • Must be computer literate, with at least a moderate skill set.

  • Team-oriented with strong interpersonal skills.

  • Ability to work well under pressure and meet deadlines.

  • Must maintain a positive and respectful attitude.

  • Demonstrates flexible and efficient use of time.

  • Ability to evaluate documents provided in a variety of formats and determine their appropriate categories.
