What’s a typical day as Administrative Assistant II? You’ll be:

  • Managing calendars, travel arrangements, correspondence, expense reports, and safety training tracking for the Operations Manager and Leadership Team

  • Coordinating internal and external meetings, including logistics, agendas, presentations, and follow-ups

  • Maintaining communication channels and liaising with key contacts for smooth operational flow

  • Overseeing office operations, including mail, supply orders, building maintenance, and acting as primary contact for service contractors

  • Supporting regional team coordination with materials, logistics, and updates across SharePoint/Teams

  • Assisting with SAP entries, expense submissions, and invoice processing

  • Processing system access requests, Power BI reporting, and providing technical support for office equipment

  • Supporting learning and onboarding, acting as Workday Learning Administrator and assisting with training processes

  • Coordinating community investment activities and stakeholder engagement for regional projects

  • Participating in internal committees and projects as needed, with additional administrative support

This job might be an outstanding fit if you:

  • Have a minimum of 3 years’ experience in an administrative or executive assistant role

  • Possess post-secondary education in Business Administration or a related field

  • Are a tech-savvy professional comfortable navigating multiple internal systems (SAP, Workday, SailPoint, SharePoint, Power BI, MS Office Suite)

  • Demonstrate strong organizational, time management, and independent task prioritization skills

  • Communicate well and collaborate effectively within teams

  • Show high attention to detail, accuracy, and professionalism—especially with sensitive information

  • Are comfortable supporting teams onsite and virtually across regional offices

  • Exhibit critical thinking and sound decision-making abilities

  • Can travel throughout Northern Ontario occasionally (alternate travel arrangements provided, own vehicle not required)
