Regulatory & Documentation Specialist
Location: Fishers, Indiana
Work Schedule: Monday-Friday; 8:00am-5:00pm
Industry: Food
Job Status: Contract-to-Hire
Salary: $50-70K; DOE
The Regulatory & Documentation Specialist is responsible for technical documentation, maintaining ingredients and product integrity, and ensuring that all new flavor products comply with global food safety and regulatory standards. You will also provide essential support for food safety audits and cross-functional commercialization milestones.
Job Responsibilities:
- Prepare and maintain technical documentation for flavor products, including ingredient disclosures, product specifications, and compliance statements.
- Ensure all products meet applicable regulatory requirements and internal quality standards.
- Maintain accurate records for allergens, GMO status, and regulatory certifications.
- Review supplier documentation to ensure raw material completeness and safety.
Food Safety & Quality Support
- Manage documentation related to HACCP, Food Safety, and HARPC quality standards.
- Support the preparation and execution of company audits, including SQF, Kosher, Halal, and Organic programs.
Product Commercialization & R&D Support
- Coordinate technical data and documentation required to launch new flavor products.
- Work closely with R&D, Quality, Sales, and Production to ensure product information is accurate and actionable.
- Create and maintain product specification sheets and technical data packages.
- Track product approvals and key commercialization milestones to ensure on-time delivery.
Data Management & Collaboration
- Maintain product data integrity within regulatory software and computer systems.
- Ensure proper version control and document retention for all regulatory files.
- Support responses to customer regulatory and technical information requests.
Job Qualifications:
Education
- Bachelor’s Degree in Food Science, Chemistry, Biology, Food Safety, or a related scientific field.
Experience
- 0–2 years of experience in food manufacturing, regulatory affairs, quality assurance, or documentation support. (Relevant internships are highly valued).
Technical Skills
- Strong attention to detail and a high degree of documentation accuracy.
- Basic understanding of food regulatory requirements (FDA, USDA).
- Proficiency with Microsoft Office (Excel) and technical data management systems.
- Ability to manage multiple projects under tight deadlines.
- Physical capability to sit or stand for prolonged periods of time.
Preferred (Bonus Points)
- Familiarity with the flavor industry or ingredient labeling.
- Basic understanding of the Food Safety Modernization Act (FSMA).
