Front Desk Administrative Assistant
Location: Rapid City, SD 57702
Schedule: Monday – Friday | 8:00 AM – 5:00 PM
Work Environment: On-site (5 days per week)

Compensation

  • Pay: $24/hour (DOE)

Kelly Services is seeking a friendly and organized Front Desk Administrative Assistant to serve as the first point of contact for clients while supporting daily office operations. This role is essential in maintaining a professional, efficient, and welcoming environment.

Key Responsibilities
Front Desk Management

  • Greet clients and visitors in a professional manner

  • Provide and collect required paperwork

  • Process client payments

Telephone Operations

  • Answer and route incoming calls to appropriate staff

Mail Handling

  • Retrieve, sort, and distribute incoming mail daily

  • Manage outgoing mail and packages (Post Office/FedEx)

Filing & Documentation

  • Perform conflict checks

  • Assist with opening new client files

  • Distribute new client information internally

  • Provide general administrative support (copying, filing, etc.)

Billing Coordination

  • Input time into billing software

  • Generate monthly invoices

  • Send billing to clients

Office & Supply Management

  • Monitor and order office supplies as needed

Conference Room Coordination

  • Manage scheduling for conference rooms

  • Prepare rooms for meetings, including refreshments

  • Coordinate with staff to resolve scheduling conflicts

Miscellaneous Duties

  • Monitor printers/copiers and coordinate maintenance or repairs

  • Run occasional errands (e.g., document delivery)

Qualifications

  • Strong interpersonal and communication skills

  • Highly organized with strong attention to detail

  • Proficient in Microsoft Office (Outlook, Word)

  • Ability to multitask in a fast-paced environment

  • Prior receptionist or administrative experience preferred (not required)

  • Willingness to learn billing software (training provided)
