The office oversees a diverse portfolio that includes operating businesses, real estate assets, and external investment positions. The Office Manager will play a pivotal role by handling scheduling, communications, and project management across varied entities and investments. Responsibilities:
- Manage the CEO’s schedule and emails efficiently.
- Organize and maintain both physical and electronic files.
- Prepare presentations, conduct analyses, and generate reports.
- Liaise and coordinate with internal teams and external vendors.
- Oversee coordination for maintenance and repair of buildings or assets.
- Delegate tasks effectively across various teams.
- Track phone extensions and manage office resources.
- Book private aircraft, hotels, and ground transportation, ensuring cost-effective and efficient travel solutions.
- Assist with confidential correspondence and communications.
- Maintain discretion and uphold strict confidentiality in all matters.
- Support special projects and assist with investment and board coordination as needed.
- Perform ad hoc tasks as designated by office staff.
Qualifications:
- Minimum 5 years of office management experience, preferably in complex, fast-paced, or high-net-worth environments.
- Advanced MS Office Suite skills (Word, PowerPoint, Excel, Outlook, and Teams).
- Strong organizational, anticipatory, and problem-solving skills.
- Demonstrated high level of discretion, maturity, and emotional intelligence.
- Creative thinker with the ability to find innovative solutions for logistics and travel.
- Strong comprehension skills and the capacity to anticipate upcoming needs.
