Position summary:
The Inventory Control Coordinator is responsible for maintaining accurate inventory records and ensuring inventory integrity across receiving, storage, picking, and shipping operations. This role leads cycle counts, investigates discrepancies, supports root cause analysis, and ensures that inventory transactions are completed correctly in WMS/ERP. The Inventory Control Coordinator partners closely with the Receiving, Dock, Fulfillment, and Client Support teams to prevent stockouts, reduce shrinkage and adjustments, and protect service-level performance.

Job Description:

  • Maintain inventory integrity by ensuring all inventory movements are properly scanned and transacted in the WMS.

  • Monitor inventory accuracy metrics and identify trends in discrepancies, shorts, mis-picks, mis-slots, and damages.

  • Perform location audits to ensure products are stored in the correct bin or rack and labeled accurately.

  • Manage inventory holds (damaged, expired, quarantined, client hold) and ensure proper segregation and documentation.

  • Serve as the primary point of accountability for site-level inventory accuracy and integrity.

  • Execute inventory adjustments within defined approval thresholds; escalate material variances in accordance with the policy.

  • Own cycle count accuracy performance and ensure adherence to established accuracy targets.

  • Execute cycle count program (daily/weekly/monthly) based on ABC methodology or warehouse requirements.

  • Plan counts by zone, client, SKU velocity, and risk; coordinate with operations to minimize disruption.

  • Reconcile WMS count results and document variances against approval thresholds.

  • Support quarterly/annual physical inventories, including prep, execution, and post-inventory reconciliation.

  • Research inventory variances using WMS reports, transaction histories, receiving logs, pick logs, and shipping records.

  • Partner with supervisors/leads to identify root causes (receiving errors, mis-slots, unscanned moves, picking issues, damages).

  • Recommend and implement corrective actions (process changes, retraining, re-slotting, labeling improvements).

  • Track repeat issues and maintain an inventory issue log with the status of corrective actions.

  • Maintain ownership of corrective action plans and track their resolution through completion to prevent recurrence.

  • Verify and resolve inbound receiving discrepancies (shortages, overages, or damage) and communicate findings to leadership and/or client support.

  • Ensure proper labeling standards (SKU, barcode, lot/expiry if applicable) and storage requirements are followed.

  • Support replenishment accuracy by verifying pick-face quantities and ensuring replenishments are scanned and confirmed.

  • Conduct floor audits during receiving, putaway, and replenishment activities to ensure scanning discipline and process adherence.

  • Generate and distribute inventory reports (cycle count results, variances, adjustment summaries, aging holds, error trends).

  • Maintain clear documentation for all adjustments, investigations, and approvals.

  • Support SOP creation and updates related to inventory handling, counting, and system processes.

  • Own inventory accuracy KPIs (cycle count accuracy %, adjustment rate, shrink trends) and report performance to warehouse leadership.

  • Partner with warehouse leadership to establish accuracy targets, thresholds, and corrective action timelines.
