Position Overview
Under the direction of the Finance Manager, the Staff Accountant is responsible for supporting daily accounting operations, ensuring accurate financial reporting, and maintaining compliance with corporate policies and GAAP standards. This role serves as a key liaison between internal departments, vendors, banks, and corporate treasury.
Key Responsibilities
Compliance & Reporting
- Ensure compliance with GAAP, corporate policies, and regulatory requirements
- Prepare periodic and annual accounting reports, including:
- FALCON reporting package
- Federal and state filings
- Insurable values and equipment leases
- Physical inventory reports
- Inter-company reconciliations
- Aging reports for receivables and payables
- FALCON reporting package
Accounts Payable & Vendor Coordination
- Process and audit payable documents prior to final authorization
- Coordinate with DBS for AP batch processing, vendor maintenance, and issue resolution
- Maintain vendor statements and correspondence
- Act as liaison with vendors regarding payment status and discrepancies
Accounts Receivable & Cash Management
- Record all cash receipts, including lockbox and direct deposits
- Apply payments and discounts within the AR system
- Assist with AR processes for key accounts (AAFES, Square, Shopify, Costco, SPS Commerce)
- Perform periodic purging of paid invoices
Banking & Treasury Functions
- Reconcile daily bank balances and report to Corporate Treasury
- Manage wire transfers, letters of credit, and designated bank accounts
- Reconcile corporate collecting and overdraft accounts
Inventory & Asset Tracking
- Maintain inventory control reports and reconcile inventory activity
- Track lease payments and property management expenses
Administrative & Systems Support
- Input journal entries and maintain general ledger accuracy
- Maintain control logs and ensure proper documentation retention
- Support QuickBooks functions including reporting, customer/product setup, and payment tracking
Regulatory & Special Reporting
- Prepare and file required reports such as 1099s, fuel tax exemptions, and GET filings
Additional Duties
- Perform other accounting and administrative tasks as assigned
- Support special projects and reporting needs
Qualifications
Required:
- Minimum 5 years of accounting experience, including auditing
- Strong computer skills and familiarity with modern accounting systems
Preferred:
- Team-oriented with strong collaboration skills
- Excellent written and verbal communication abilities
