Kelly Services is hiring for a Project Administrator in Kilgore, TX!

Pay: $60,000/year
Schedule: Monday-Friday, 7a-4p

• Coordinate day-to-day project administration, including timelines, scheduling, and documentation
• Communicate effectively with vendors, contractors, and clients to manage project timelines and expectations
• Accurately prepare and submit invoices, purchase orders, and progress reports
• Coordinate logistics and planning of material deliveries
• Track and maintain accurate records of materials, labor costs, and project expenses
• Keep project documentation organized and ensure deadlines and deliverables stay on track
Accounting & Financial Management:
• Handle bookkeeping tasks, including accounts payable/receivable
• Prepare and analyze financial statements
• Apply job costing and construction accounting principles to track project profitability
• Accurately calculate commissions based on sales data and established compensation plans
• Manage budgets and produce accurate, timely financial reports
• Perform light clerical duties, including filing, data entry, and handling correspondence
Tax & Multi-State Compliance:
• Help keep the company in good standing with tax laws across the states in which it operates
• Support tax compliance for out-of-state work, including subcontractor licensing and registration requirements
• Collect and maintain required tax and licensing documentation from vendors and subcontractors (e.g., W-9s, exemption certificates, and proof of licensing)
• Stay aware of changing multi-state tax rules and flag potential compliance issues
 Work Experience:
• Three to five years of experience in a project administration or coordination role with an accounting background—preferably in the flooring or construction industry
• Track record of managing project timelines, budgets, financial reports, and vendor relationships
Requirements:
• Proven project administration and coordination skills, with the ability to manage multiple projects and competing deadlines
• Strong understanding of job costing and construction accounting principles
• Proficiency in accounting software (e.g., QuickBooks)
• Proficient in Microsoft Excel
• Exceptional organizational and multitasking skills with a keen eye for detail
• Excellent analytical and problem-solving skills
• Working knowledge of tax compliance across multiple states is a plus
