Kelly® is seeking an Administrative Assistant to join the Occupational Health Clinic at a leading oil and gas company in Joliet, IL. This is an exciting long-term contract opportunity with competitive pay, onsite work, and a chance to play a vital administrative and clinical support role within a dynamic environment.
Position Details
- Location: Joliet, IL (onsite)
- Pay Rate: $29 – $34 per hour (based on experience)
- Schedule: Monday to Friday, standard business hours
- Duration: Long-term contract (2 years)
Key Responsibilities
- Coordinate the daily workflow of the health center, including greeting visitors, answering phones, scheduling appointments, and calendar management.
- Manage incoming and outgoing mail, and prepare packages for shipment.
- Process invoices, set up new vendors, and assist with contractor service scheduling and time tracking.
- Support clinicians in maintaining health center supplies and controlling access to secured areas.
- Perform daily calibration of equipment, arrange for annual servicing, and maintain accurate records.
- Oversee hazardous waste removal processes and manage waste manifests.
- Update critical medical information and manuals as needed.
- Provide reports from Cority (Occupational Health EMR system) and support OIMS stewardship reporting.
- Facilitate new hire health assessment processes and liaise with recruitment.
- Ensure accurate and up-to-date medical surveillance group enrollments and reporting.
- Assist with scheduling and recording health surveillance assessments and results.
- Trainable to perform and record clinical tests such as vital signs, pulmonary function tests, ECGs, vision tests, audiograms, and specimen collections.
- Serve as point of contact for security requirements, administrative program coordination, and records management.
- Maintain a clean and orderly clinic environment.
- Support Workers’ Compensation Board (WCB) processes and claims, including documentation and uploads.
Qualifications
- 3–5 years of administrative support experience; medical office background highly preferred.
- Proficiency with SharePoint, Microsoft Office Suite, and electronic medical record (EMR) systems.
- Detail-oriented, proactive, hardworking, and dependable.
- Excellent teamwork and communication skills; must thrive in a collaborative three-person department.
- Willingness to learn and perform basic clinical support functions (training provided).
