We are seeking a highly organized and patient-focused Medical Office Assistant / Clinic Coordinator to support a well-established naturopathic practice in Ottawa, ON. This role is critical in ensuring a seamless patient experience while maintaining efficient front-office operations.
The ideal candidate will bring a balance of exceptional customer service, attention to detail, and strong administrative capabilities, along with an interest in or openness to natural and holistic healthcare.
 
Key Responsibilities
Front Desk & Administration

  • Manage daily front desk operations, including greeting patients and handling check-in/check-out processes

  • Process payments, billing, and administrative transactions accurately

  • Utilize QuickBooks for invoicing, payment tracking, and financial record management

  • Maintain and update patient records and data entry with a high level of precision

  • Support scheduling and ensure smooth clinic workflow and patient flow

  • Handle general administrative duties as required

 
Patient Experience

  • Provide a warm, welcoming, and professional experience for all patients

  • Build positive relationships while maintaining appropriate boundaries to ensure efficiency

  • Communicate clearly and respectfully with patients regarding appointments and processes

  • Support a calm and organized clinic environment

 
Operations & Inventory Management

  • Order, track, and maintain inventory of natural health products and supplements

  • Coordinate with vendors to ensure timely and accurate ordering of medicines and clinic supplies

  • Monitor stock levels and proactively reorder as needed

 
Preparation of Natural Medicines

  • Assist in the preparation and dispensing of natural medicines and supplements as directed by the practitioner

  • Ensure accuracy and attention to detail when preparing patient-specific products

  • Maintain cleanliness and organization of preparation areas in accordance with clinic standards

  • Ordering medicine and supplements as well as assisting in the preparation and dispensing of natural medicines and supplements as directed by the practitioner

 
Workflow & Clinic Support

  • Ensure efficient front-office workflow, keeping appointments running on time

  • Balance patient interaction with operational efficiency (avoiding delays at reception)

  • Support the practitioner by ensuring administrative and operational processes run smoothly

 
Accuracy & Attention to Detail

  • Perform all tasks with a high degree of accuracy and attention to detail, particularly in data entry, financial processing, and product preparation

  • Minimize errors and maintain organized records

  • Apply strong analytical thinking to administrative and operational tasks

 
Qualifications & Experience

  • Previous experience in a medical office, clinic, or customer-facing administrative role preferred

  • Experience with QuickBooks or similar accounting software is an asset

  • Experience with inventory management, ordering, or product handling is an asset

  • Strong organizational and multitasking skills

  • High level of attention to detail and accuracy

  • Comfortable working with numbers, systems, and data entry

  • Proficiency with computer systems (EMR experience is an asset)

  • This is a part time contract of 9-16hrs per week and if a fit, there is the possibility to convert into a permanent part time role
