About the Opportunity
We are seeking an experienced, polished, and highly proactive Executive Assistant to support our President/CEO in a fast-paced, dynamic business environment. This is a high-visibility role that requires exceptional organizational skills, sound judgment, professionalism, and the ability to anticipate needs before they arise.
The ideal candidate is a strategic partner who thrives on managing complex schedules, coordinating executive-level meetings and travel, handling confidential information with discretion, and ensuring seamless day-to-day operations for a senior executive.

Key Responsibilities
Executive Calendar Management
- Manage and prioritize a complex and ever-changing executive calendar.
- Coordinate meetings, appointments, leadership discussions, and business commitments.
- Anticipate scheduling conflicts and proactively resolve challenges.
Travel Coordination
- Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries.
- Coordinate passport, visa, and travel documentation requirements.
- Manage travel logistics and last-minute changes with efficiency and professionalism.
Executive Support
- Serve as a trusted liaison between the President and internal/external stakeholders.
- Draft, edit, and proofread executive communications, correspondence, presentations, and reports.
- Prepare meeting materials, agendas, and follow-up action items.
- Maintain confidentiality while handling sensitive business information.
Expense Management
- Prepare and submit expense reports through Concur.
- Track and reconcile expenses accurately and efficiently.
Meeting & Event Planning
- Coordinate executive meetings, leadership events, off-site meetings, and special company functions.
- Manage logistics including scheduling, catering, meeting space preparation, and presentation materials.
- Support executive and corporate event planning initiatives.
Special Projects
- Assist with strategic projects and administrative initiatives.
- Coordinate executive gifting and special recognition programs.
- Provide additional executive and occasional personal support as needed.
Qualifications
Required
- 10+ years of Executive Assistant experience supporting C-suite executives, Presidents, or senior leadership.
- Proven success managing complex calendars and high-volume scheduling.
- Experience coordinating domestic and international travel.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience using Concur expense management software.
- Exceptional written and verbal communication skills.
- Strong organizational, multitasking, and prioritization abilities.
- Ability to maintain strict confidentiality and exercise sound judgment.
Preferred
- Bachelor’s degree or equivalent professional experience.
- Experience supporting executive leadership within a corporate environment.
- Event planning and meeting coordination experience.
