Regional Administrative Associate

Shafter, CA | Onsite | Monday–Friday 7am-4pm or 8am-5pm

Pay: $25.00 per Hour

Are you an organized, proactive administrative professional who thrives in a fast-paced environment? We’re seeking a Regional Administrative Associate to support regional leadership, sales teams, warehouse operations, and internal departments by providing exceptional administrative and operational support.

What You’ll Be Doing

  • Provide administrative support for approximately 7 branch locations

  • Manage and respond to a high volume of emails daily

  • Review reports and maintain accurate records for multiple branches

  • Will coordinate calendars, meetings, conference calls, and occasional travel arrangements for regional leadership.

  • Responsible for office supply management and ensuring office equipment remains operational.

  • Will support purchasing activities by verifying vendor invoices, shipping information, and billing accuracy.

  • May participate in audits and compliance reviews to ensure company processes are being followed.

  • Utilize Excel regularly, including filtering and organizing data

  • Assist with Accounts Payable and Accounts Receivable functions

  • Review and address past-due invoices and billing discrepancies

  • Communicate with vendors regarding invoice corrections and account inquiries

  • Perform filing, scanning, and document management tasks

  • Support various operational and administrative processes as needed

  • Answer calls and assist branch personnel with issue resolution

What We’re Looking For

  • High School Diploma or GED required

  • Previous administrative, office support, coordinator, or executive assistant experience preferred

  • Strong proficiency with Microsoft Office Suite, especially Outlook and Excel

  • Excellent verbal and written communication skills

  • Strong organizational and multitasking abilities

  • Ability to prioritize work and manage multiple deadlines

  • Professional, customer-focused demeanor

  • Strong attention to detail and problem-solving skills

  • Ability to learn new systems, processes, and technology quickly

  • Self-motivated with the ability to work independently
