Job Summary

The HR Specialist provides comprehensive administrative support to the Human Resources function and serves as the first point of contact for employees and contractors. This role assists the HR Manager in various daily operations and collaborates with supervisors across departments to maintain seamless HR processes, ensuring high-quality customer service, administrative accuracy, and employee experience.


Job Description

The HR Specialist primarily supports workforce management, benefits, payroll data entry, onboarding, and HR administrative activities. While this position does not resolve HR or payroll inquiries directly, it ensures employees’ and contractors’ questions are directed to the appropriate personnel. The role requires exceptional communication, organization, and attention to detail, as well as the emotional resilience to assist individuals experiencing workplace challenges. The HR Specialist provides vital support to the HR Manager and contributes to the overall success of the HR team through effective collaboration and excellent customer service.


Working Hours

  • Five (5) days a week, Monday through Friday

  • 9:00 am to 5:30 pm

Position Responsibilities

  • Serve as the primary point of contact for employees and contractors, handling inquiries with professionalism and directing them to the appropriate HR or management personnel.

  • Provide administrative support to the new HR Manager and assist supervisors from various departments as needed.

  • Aid with payroll data entry into Workday and/or UKG systems; ensure accuracy and confidentiality of data (no direct payroll processing required).

  • Oversee the onboarding process for new hires: coordinate paperwork, facilitate orientation, and support system logins.

  • Assist with day-to-day administrative duties including paper filing, attendance tracking, job bids, and other HR document management.

  • Help employees/contractors navigate HRIS logins and troubleshoot basic access issues.

  • Deliver exceptional customer service, ensuring employee needs are addressed promptly and appropriately.

  • Maintain composure and demonstrate emotional resilience, especially when faced with distressed or upset employees.

  • Foster a collaborative environment, working closely with the HR Manager and supervisors to ensure efficient and effective HR operations.

  • Handle sensitive and confidential information with integrity and professionalism.

  • Suggest process improvements for greater HR efficiency and employee experience.

Position Qualifications

  • High school diploma required; Bachelor’s degree preferred.

  • Previous experience in HR or administrative support required.

  • Familiarity with HRIS platforms such as Workday, UKG, Kronos, or similar systems preferred.

  • Demonstrated excellence in verbal and written communication; able to relate empathetically and professionally with a diverse workforce.

  • Detailed-oriented, action-oriented, and highly organized.

  • Strong customer service orientation with the ability to maintain composure in challenging situations.

  • Tech-savvy and open to learning new systems.

  • Team player with proven ability to work independently and collaboratively.

  • Ability to maintain confidentiality and handle sensitive matters appropriately.

  • Proficiency in MS Office applications (Word, Excel, PowerPoint, etc.).
