Branch Office Support Representative
Location: Onsite
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Pay Rate: $19.00 – $21.00 per hour
Position Type: Temp-to-Hire
About the Role
We are seeking a detail-oriented and customer-focused Branch Office Support Representative to support the daily operations of our branch office. This position serves as a key point of contact for patients, referral sources, and internal teams while providing administrative, customer service, and operational support. This is an onsite position and is not eligible for remote work.
Key Responsibilities
- Support the Sales team by completing required patient documentation.
- Serve as the first point of contact for patients and visitors, providing exceptional customer service via phone and in person.
- Assist with intake processing, reviewing account information, and confirming delivery appointments.
- Perform post-delivery work order confirmations and data entry.
- Support patient scheduling and coordinate appointment-related activities.
- Assist with Positive Airway Pressure (PAP) classes by preparing paperwork and instructional materials.
- Download and process data from respiratory equipment including CPAP devices, apnea monitors, and oximeters as directed.
- Perform functional testing on respiratory equipment when required.
- Handle audit and documentation requests accurately and efficiently.
- Support overnight oximetry programs and related administrative tasks.
- Collect billing and credit card information as needed.
- Scan, file, fax, and maintain patient records.
- Assist with warehouse duties and patient equipment preparation.
- Educate patients on equipment setup and return procedures, insurance coverage, and out-of-pocket expenses.
- Process payments, reconcile daily receivables, and submit funds according to company procedures.
- Conduct outbound customer satisfaction calls to patients and referral sources.
- Order office supplies and maintain inventory levels.
- Perform additional duties as assigned.
Qualifications
Required
- High School Diploma or GED.
- Minimum of 2 years of office or administrative experience.
- Strong customer service and communication skills.
- Excellent organizational skills and attention to detail.
- Proficiency with computers and data entry.
- Ability to multitask in a fast-paced healthcare or office environment.
Preferred
- Experience working in healthcare, medical equipment, durable medical equipment (DME), or patient services environments.
- Familiarity with insurance verification, patient scheduling, or medical documentation.
