Order Management Coordinator / Sales Support Associate (Contract – 6 + Months)
Administrative Role
Schedule: Monday – Friday, 8:00 AM – 4:45 PM
Pay Rate: $19.00/hour
Duration: 6-months + contract
Start Date: ASAP
Location: 100% on site – Charleston, WV
Position Summary
We are seeking four Sales Support Associates to join a newly created department supporting the sales and operations teams. This role is primarily focused on providing administrative support behind the scenes to ensure customer orders move smoothly through the fulfillment process. The ideal candidate is detail-oriented, organized, and enjoys tracking information, following up on open items, and communicating with internal teams.
This is a fully onsite position during the initial training period. After several months, employees may become eligible for one work-from-home day per week based on performance and business needs.
Key Responsibilities
- Provide administrative support to the Sales Support team.
- Track customer orders and ensure documentation is complete and accurate.
- Monitor packaging status, proof of delivery (POD), and material test reports.
- Review order information and verify that documentation matches shipment details.
- Follow up with warehouse personnel over email regarding open orders or delayed shipments.
- Learn to navigate Oracle to review order history and determine what has and has not shipped.
- Update and maintain Excel spreadsheets with order status and basic tracking information.
- Make minor edits and updates to customer order documentation as needed.
- Communicate professionally with internal departments to resolve order questions and maintain workflow.
- Assist in ensuring orders move efficiently through the fulfillment process.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma or GED required.
- Previous administrative, customer service, order entry, or sales support experience preferred.
- Strong attention to detail and organizational skills.
- Comfortable working with Microsoft Excel for basic data entry and tracking.
- Excellent written and verbal communication skills.
- Ability to learn new systems; Oracle experience is a plus but not required (training provided).
- Ability to manage multiple priorities in a fast-paced environment.
- Reliable, dependable, and able to work independently as well as part of a team.
Work Environment
- Fully onsite during training.
- Potential for one remote workday per week after several months, based on business needs and performance.
- Interviews will be conducted onsite.
