Position Title: Pack Studios ODMS & Administrative Coordinator
Role Overview:
The Pack Studios ODMS & Administrative Coordinator is a pivotal member of the Packaging TS&D organization, ensuring operational excellence and administrative leadership across Pack Studios facilities. This role manages compliance with Operational Discipline Management System (ODMS) requirements, oversees safety documentation, coordinates customer and site visits, provides comprehensive reception and administrative support, and maintains a professional and welcoming work environment for employees, customers, and visitors.
Key Responsibilities:
ODMS Coordination & Compliance
- Own and manage ODMS processes: Create EATs and enter action items following self-assessments, RCIs, and audits, ensuring timely completion.
- Lead SharePoint organization for all safety and equipment documentation, aligning with Dow’s ODMS policies.
- Collaborate with ODMS support teams to implement and maintain management systems.
- Schedule, coordinate, and facilitate department Management System Reviews.
- Serve as subject matter expert, overseeing document management and safety record tracking for departmental compliance.
- Participate actively in ODMS networks to drive continuous improvement.
- Ensure safety-related share point links and documentation are current and accessible.
- Facilitate new employee onboarding paperwork, schedule safety orientations, and track training completion in partnership with the NEO team.
Administrative Support & Front Desk Reception
- Front-line representative for Pack Studios: Greet, welcome, and direct visitors, customers, and contractors.
- Manage visitor sign-in, badge issuance, and comply with Dow’s protocols.
- Provide efficient, high-quality administrative support for Dow Packaging TS&D.
- Support Pack Studios Facility Leader and Technologists with daily administrative needs.
- Work closely with Senior Admin Specialists on organizational projects, meetings, and provide backup support.
- Coordinate over 110 customer and site visits annually, including booking visitor offices and reserving space.
- Submit/review purchase orders and manage supply requests through SAP NEA and other Dow systems.
- Maintain department assets: Vehicles, mailroom, FedEx, printers, and door tags.
- Enter and track work requests for facility maintenance and furniture movements.
Qualifications & Experience
- Associate’s degree (or short-cycle tertiary degree) preferred; relevant work experience considered.
- 1–2 years of administrative experience required; prior experience in similar roles preferred.
Skills & Competencies
- Strong communication abilities and excellent organizational skills.
- Highly self-motivated with the ability to work efficiently in fast-paced team environments.
- Proficient in Excel, Outlook, SAP, and additional digital tools; adaptable and eager to learn new systems.
- Demonstrated professionalism and customer-focused mindset.
