Job Title: Administrative Assistant/ Receptionist
Location: Northbrook, IL 
Hours: Monday–Friday, 8:00 AM–5:00 PM
Bilingual Preferred (Spanish/English)

Join Our Team!
We’re looking for a welcoming and organized Administrative Assistant II to join our team in Northbrook, IL. In this role, you’ll be the friendly face of our office, greeting visitors and providing helpful support to guests, clients, and staff. You’ll also play a key part in keeping our Operations team running smoothly with a variety of administrative and mailroom tasks. What You’ll Do:

Reception Responsibilities:

  • Open and close the reception desk each day, making sure our front office is ready for business.

  • Greet and assist visitors, customers, and vendors, ensuring everyone feels welcomed and well taken care of.

  • Create personalized welcome signs and make PA announcements when needed.

  • Help keep our office secure by managing logbooks, visitor badges, and employee badge processes.

Administrative Tasks:

  • Manage payroll for temporary employees, run roster reports as needed.

  • Schedule manufacturing tours and help coordinate exciting company events.

  • Assist with expense reports and travel arrangements for team members.

  • Organize monthly employee meetings and prepare materials for presentations.

  • Oversee programs for employee safety gear; order flowers for special occasions.

  • Coordinate events and celebrations, plus handle locker and badge assignments.

Mailroom Duties:

  • Sort and distribute office mail and packages (U.S. mail, UPS, FedEx).

  • Mail sales representatives’ materials every other week and send out promotional items.

  • Update mail slots for new/separated employees and keep mail room supplies stocked.

Other Responsibilities:

  • Jump in to help with other tasks as needed – we’re a team!

What You Bring:

  • High school diploma

  • Bilingual (Spanish/English) 

  • At least 2 years of experience in reception or office administration.

  • Comfortable using Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Great communication and people skills.

  • Strong organizational habits and attention to detail.

  • Ability to handle confidential information with professionalism.

  • Prior mailroom experience is a bonus!
