We are looking for a Client Account Coordinator / Customer Service Representative to join a busy healthcare-related branch supporting patients who need mobility equipment, including wheelchairs. This is a fast-paced, customer-focused role where you will help keep orders moving smoothly from the initial request through fulfillment.
The ideal candidate is organized, comfortable on the phone, computer-savvy, and able to provide excellent customer service even when working with patients or medical offices during stressful situations.
What You’ll Do
- Answer a high volume of inbound phone calls from patients, medical offices, hospitals, and other healthcare providers.
- Make outbound calls to patients, doctor’s offices, hospitals, and other contacts to obtain information and follow up on orders.
- Receive and process wheelchair and mobility equipment orders.
- Enter orders and customer information accurately into company systems.
- Verify insurance coverage, co-pays, deductibles, and other necessary information.
- Communicate insurance and financial information clearly to patients and medical offices.
- Coordinate fittings, equipment deliveries, and training appointments.
- Receive, process, and send a high volume of faxes, as many orders are received through fax.
- Follow up on missing documentation or information needed to complete orders.
- Coordinate with internal teams, medical offices, insurance providers, and patients to keep orders moving.
- Maintain accurate records and ensure information is entered correctly.
- Help resolve customer concerns and keep the order process organized from start to finish.
What We’re Looking For
- Excellent customer service and communication skills.
- Strong phone skills and comfort handling a high volume of calls.
- Strong computer skills and ability to learn new systems quickly.
- Highly organized with excellent attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Professional and compassionate communication style.
- Ability to remain calm and patient when working with individuals who may be experiencing stressful or difficult circumstances.
- Strong follow-through and problem-solving skills.
- Healthcare, medical office, DME, insurance, or related experience is highly preferred but not required.
- Experience working with insurance verification, authorizations, medical orders, or healthcare documentation is a plus.
Why This Role?
This is a great opportunity for someone who enjoys customer service, problem-solving, and helping people while working in a healthcare environment. You’ll play an important role in making sure patients, medical providers, insurance information, and equipment orders are all coordinated efficiently.
