Location: Mansfield, OH
Job Type: Full-time, contract-to-hire
Pay: $17–$22 per hour, based on experience
Schedule: Monday–Friday; start time around 7:30 or 8:00 a.m.
Job Summary
We are seeking a dependable and detail-oriented Administrative Assistant to support office, manufacturing, production, billing, purchasing, inventory, and logistics operations.
This is a contract-to-hire opportunity for someone who is organized, analytical, and eager to learn. The ideal candidate will be comfortable working with both office and shop personnel, entering data into an ERP system, and identifying ways to improve administrative processes.
Responsibilities
- Enter employee work hours from the timekeeping system into the ERP system.
- Review time records and follow up on missing clock-ins or clock-outs.
- Enter shop production information, including labor and material usage.
- Record materials received and apply them to purchase orders.
- Enter shipment information and close completed jobs.
- Post supplier and customer invoices.
- Assist with billing and issuing customer invoices.
- Support logistics scheduling.
- Maintain organized files and records.
- Collect paperwork from the shop as needed.
- Answer phones and assist with receptionist duties.
- Communicate with employees, customers, suppliers, and internal departments.
- Assist with customer and supplier visits, company meetings, picnics, and other events.
- Manage schedules, deadlines, and meeting preparation.
- Help improve administrative procedures and streamline processes.
- Complete other duties and special projects as assigned.
Qualifications
- Previous administrative assistant or office coordination experience preferred.
- Manufacturing, production, billing, purchasing, or inventory experience is a plus.
- Experience with ERP systems required; SYSPRO experience is preferred.
- Proficiency in Microsoft Office, especially Excel.
- Strong organizational and multitasking skills.
- Excellent attention to detail and accuracy.
- Analytical and effective problem-solving abilities.
- Professional communication skills by phone, email, and in person.
- Ability to work independently and as part of a team.
- Willingness and aptitude to learn new systems and procedures.
Additional Details
Initial training may take place at the company’s Smithfield location. Mileage compensation may be reviewed.
