Schedule: Monday–Friday, 8-hour shift
Hours: 8:00 a.m.–4:30 p.m.
 

Position Summary

The Radiology Scheduler coordinates patient scheduling, registration, and front-desk activities for Diagnostic Imaging services. This role serves as a primary point of contact for patients, referring providers, and imaging staff, ensuring accurate appointment scheduling, appropriate exam preparation, and efficient patient flow throughout the department.

The ideal candidate has radiology scheduling and call center experience, strong attention to detail, excellent communication skills, and the ability to work effectively in a fast-paced healthcare environment.

Essential Duties and Responsibilities

  • Schedule and coordinate appointments for multiple imaging modalities, including:

    • Ultrasound

    • X-ray

    • MRI

    • Nuclear Medicine

    • CT

    • Vascular Ultrasound


  • Manage a high volume of inbound and outbound calls professionally, courteously, and efficiently.

  • Obtain and verify patient demographic, insurance, and referring provider information.

  • Review physician orders for completeness and accuracy and contact providers when clarification is required.

  • Schedule exams according to modality-specific protocols, exam urgency, patient needs, and department availability.

  • Provide patients with clear preparation instructions, including fasting requirements, contrast preparation, medication guidelines, and arrival times.

  • Maintain working knowledge of imaging scheduling guidelines, exam protocols, and departmental workflows.

  • Monitor scheduling work queues and respond to requests within established timelines.

  • Greet patients and visitors and provide front-desk support as needed.

  • Register, check in, and dispatch patients while protecting patient privacy and complying with HIPAA requirements.

  • Coordinate patient flow among waiting areas, technologists, nurses, radiologists, providers, and other departments.

  • Communicate appointment changes, delays, preparation requirements, and special instructions to patients and imaging staff.

  • Respond to patient questions and resolve scheduling concerns with professionalism, patience, and empathy.

  • Maintain accurate documentation in the electronic medical record and scheduling systems.

  • Collaborate with clinical and administrative teams to support efficient operations and quality patient care.

  • Assist with departmental reports, administrative duties, and special projects as assigned.

  • Follow organizational policies, safety standards, customer service expectations, and applicable regulatory requirements.

Required Qualifications

  • High school diploma or GED.

  • At least 2 years of relevant experience, including radiology scheduling, healthcare scheduling, or call center experience.

  • Strong customer service and telephone communication skills.

  • Ability to manage multiple priorities in a high-volume environment.

  • Strong attention to detail when entering patient, insurance, provider, and appointment information.

  • Ability to maintain confidentiality and follow HIPAA requirements.

  • Comfortable working with electronic medical records and scheduling systems.

Must-Have Resume Qualifications

  1. Radiology or Diagnostic Imaging scheduling experience.

  2. Call center or high-volume telephone customer service experience.

  3. At least 2 years of relevant healthcare scheduling or call center experience.

  4. Experience verifying patient demographics, insurance information, and physician orders.

  5. Experience providing exam preparation instructions and coordinating appointments across multiple imaging modalities.

Nice-to-Have Qualifications

  1. Front-desk, patient registration, or medical receptionist experience.

  2. Experience with MACS Enterprise scheduling software.

  3. Experience scheduling CT, MRI, Ultrasound, Nuclear Medicine, X-ray, or Vascular Ultrasound exams.

  4. Experience working in a hospital or outpatient diagnostic imaging environment.

  5. Familiarity with electronic medical records, insurance verification, and HIPAA-compliant workflows.
