Administrative Assistant
Position Summary
The Administrative Assistant provides professional administrative and clerical support to a team of employees and leaders. This role coordinates daily office activities, schedules meetings, supports visitors and travel arrangements, prepares reports, manages office supplies and equipment, and assists with expense administration.
The successful candidate is organized, dependable, service-oriented, and able to manage multiple priorities while maintaining a high level of accuracy and professionalism. This position works within established guidelines under general supervision and is expected to demonstrate initiative, sound judgment, and a commitment to safety and continuous improvement.
Key Responsibilities
- Provide professional administrative support to a group of employees, leaders, and colleagues.
- Coordinate meeting logistics, including:
- Booking conference rooms
- Scheduling and rescheduling meetings
- Ordering food and beverages
- Arranging meeting supplies and materials
- Processing visitor requests and escorting guests as needed
- Booking conference rooms
- Receive, screen, and direct incoming calls, visitors, mail, and other inquiries in a professional manner.
- Prepare reports, correspondence, presentations, and other documents in accordance with established procedures and guidelines.
- Schedule meetings and maintain calendars for team members based on business needs and leader direction.
- Research travel options, including flights, hotels, and rental cars, and arrange routine or less-complex travel as needed.
- Collect, scan, organize, and process receipts. Prepare expense reports for personal purchases and assist with expense reports for others.
- Maintain office supply inventories, place orders, and manage related expenses.
- Serve as a focal point for standard office equipment and troubleshoot routine issues. Escalate problems when additional technical support is required.
- Use Microsoft Office and other business software applications to complete daily responsibilities efficiently.
- Identify and use the appropriate software tools and business systems for assigned tasks.
- Stay current with changing technologies, information systems, and available training resources.
- Run occasional business-related errands for the team.
- Complete assigned work from start to finish within established timelines, asking clarifying questions when needed.
- Adapt quickly to changing priorities and demonstrate flexibility in responding to business needs.
- Maintain a high level of accuracy, productivity, quality, and confidentiality.
- Identify opportunities to improve administrative processes and increase efficiency.
- Anticipate team needs and proactively communicate status updates, concerns, and recommendations.
- Build effective working relationships with employees, leaders, senior-level administrative professionals, visitors, and other stakeholders.
- Demonstrate strong listening, communication, problem-solving, organization, and follow-through skills.
- Learn and apply Dow’s safety behaviors and intervene appropriately when unsafe behaviors are observed.

Qualifications
Required
- High school diploma or GED.
- Up to five years of relevant experience in administrative support, customer service, office coordination, or a related field.
- Ability to work effectively in a team environment while managing multiple priorities and deadlines.
- Strong organizational skills and attention to detail.
- Ability to follow instructions, use sound judgment, and complete assignments independently.
- Strong written and verbal communication skills.
- Willingness to learn new systems, processes, and technologies.
Preferred
- Associate’s or bachelor’s degree.
- Experience supporting leaders, teams, or a professional office environment.
- Working knowledge of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Experience scheduling meetings, coordinating visitors, arranging travel, processing expenses, or managing office supplies.
- Familiarity with standard office equipment and basic troubleshooting.
