Job Title: Support Coordinator I
Location: Newport Beach, CA 92663
Work Arrangement: Onsite
Work Hours: 8:30 am – 5:00 pm
Pay Rate: $23.00/hour
Education Requirements: High School diploma or equivalent required; BA preferred
Job Summary
The Support Coordinator I provides frontline clerical and administrative support to clinic operations, ensuring a smooth and efficient patient experience. This role acts as a liaison between patients, caregivers, and clinical staff, managing scheduling, records, and other vital communications in a fast-paced environment.
Key Responsibilities
Clerical / Administrative:
- Accurately enter data into computer systems, and maintain records in compliance with department protocols.
- Coordinate and schedule patient evaluations, appointments, labs, diagnostic testing, and referrals.
- Provide medical records to care team, verify insurance, and obtain authorizations for visits/procedures.
- Anticipate schedule needs to optimize workflow and enhance patient care, including sending medical necessity letters.
- Support billing processes through filing and gathering supporting documentation.
- Answer phones, manage emails, and respond to voicemails within established timelines.
Patient Service:
- Deliver outstanding service by proactively greeting and assisting patients and families with compassion and professionalism.
- Serve as primary contact for patient and caregiver inquiries about appointments, paperwork, and care navigation.
- Collect and validate insurance and funding documentation, and provide accurate patient liability estimates.
- Communicate effectively with patients, caregivers, and staff—ensuring all relevant parties receive timely updates and required information.
- Maintain strict confidentiality in compliance with privacy policies.
Teamwork & Collaboration:
- Foster open, professional communication across teams, and serve as department liaison with other hospital and physician staff.
- Adapt to departmental needs, providing coverage for colleagues during absences.
- Remain informed about departmental and organizational changes, contributing to a positive work environment.
Additional Duties:
- Assist Clinic Manager with quality assurance, patient flow monitoring, data collection, and special projects.
- Participate in audits, quality assurance, and process improvement initiatives.
- Perform other duties as assigned.
Qualifications & Skills
- Outstanding interpersonal and customer service skills, in-person and by phone.
- Excellent verbal and written communication.
- Strong organizational skills; detail-oriented with the ability to manage multiple tasks.
- Proficiency in computer systems, Microsoft Office, and relevant department software.
- Ability to adapt to change, take initiative, and work both independently and collaboratively.
