Kelly Services is seeking an experienced Administrative Assistant with Legal/ Research and Development background.
Location: Orlando, FL
Department: Robotics Engineering and Legal & IP
Reports To: VP Engineering and Legal & IP Counsel (dual report, 50/50 split)
About the Role
We’re looking for a highly organized and proactive Administrative Assistant to help run our robotics lab and support our Legal & IP team. You’ll make sure the lab stays safe and organized, keep supplies stocked, help track projects, and provide essential administrative help with company patents, contracts, and other legal documents.
This is a great job for someone who enjoys variety, supporting engineers, and wants to learn more about the legal and IP side of robotics. Full training on legal tasks will be provided.
Key Responsibilities
Lab & Facilities
- Keep the robot lab clean, safe, and well-organized
- Track and restock lab supplies, tools, and equipment
- Schedule equipment maintenance and repairs
- Help with safety checks and lab access
- Be the main point of contact for IT, facilities, and service providers
Procurement & Vendors
- Order and track robotics parts and lab supplies
- Build good relationships with vendors and suppliers
- Track budgets and manage purchase records, invoices, shipping, and inventory
Project Coordination (Jira)
- Help engineers keep tasks organized in Jira
- Create and track project tasks, sprints, and deadlines
- Help keep project notes and status updates current
- Prepare reports on workload and project progress
Legal & IP Support
- Help with patent and trademark paperwork and records
- Track legal deadlines and keep files organized
- Input updates into our patent tracking system
- Process invoices and inventor bonuses
- Prepare and organize contracts and NDAs—flag anything unusual for review
- Maintain corporate records and help with company training documents
- Research information as requested and write up short summaries
Team Support
- Provide daily admin help to the six-person R&D team and Legal & IP Counsel
- Assist with scheduling, meetings, and team communications
- Help onboard new team members and support internal projects to improve how we work
What We’re Looking For
Required:
- 1–3 years’ experience in operations, lab management, procurement, or admin/legal support
- Organized and able to manage multiple tasks well
- Comfortable using inventory systems and project management tools like Jira
- Strong communication and writing skills
- Able to keep information confidential
- Experience working around technical equipment and electronics
Nice to Have:
- Experience in robotics, engineering, or software development
- Basic understanding of technical components, part numbers, or R&D projects
- Familiar with patents, trademarks, or legal documents
- Experience supporting agile teams or reading simple technical documents
- Prior legal or administrative assistant experience
- Good at organizing files and company records
