Academic Program Assistant
Pay Rate: $30.00/hour
Shift Hours: Monday to Friday 8AM – 5PM
Position Summary
The Academic Program Specialist supports the planning, coordination, and execution of academic programs within the department. This role is integral in ensuring the success and continual improvement of program activities, while providing high-level administrative and operational support to program leaders and team members. The ideal candidate combines strong organizational and communication skills with a proactive approach to problem-solving and a dedication to superior service.
Key Responsibilities
- Coordinate and implement academic program activities and events, ensuring all logistics are handled efficiently.
- Provide administrative support such as scheduling, record keeping, document preparation, and database management.
- Serve as a primary point of contact for faculty, staff, students, and program participants, responding to inquiries and providing accurate information.
- Assist with the development and distribution of program materials, newsletters, and communications.
- Support program assessment efforts including tracking metrics, collecting data, and preparing reports.
- Monitor program budgets and process reimbursements, purchasing requests, and expense reports as directed.
- Help with onboarding and orientation of new students, faculty, and/or staff as needed.
- Collaborate with team members to identify ways to enhance program processes and participant experience.
- Maintain confidentiality and ensure compliance with university policies and procedures.
Required Qualifications
- Bachelor’s degree or equivalent experience required.
- At least 1-2 years of related administrative or program coordination experience, preferably in an academic or healthcare setting.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to multitask, prioritize assignments, and work effectively in a fast-paced team environment.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with database or CRM software a plus.
- Professional demeanor with a commitment to delivering excellent service.
