Global Project Coordinator – New Brunswick, NJ

Kelly Services is seeking a Global Project Coordinator for a long-term position with one of our Global Clients based in New Brunswick, NJ.

This is a full-time position with competitive compensation and a comprehensive benefits package including medical, dental, 401k, and paid time off.

Title: Global Project Coordinator
Location: New Brunswick, NJ or remote
Pay: $36 hr or up (based on experience); plus benefits and PTO
Hours: M-F 8 hr shift first shift; could have some early morning meetings (6 or 7 am)
Reporting to: Global Data Enablement Director

Position Summary
The Global Project Coordinator / Chief of Staff will serve as a trusted operational partner to the Global Data Enablement Director, supporting executive priorities, coordinating global workstreams, and ensuring strategic initiatives are executed with clarity, accountability, and pace. This role combines project coordination, business operations, executive support, and stakeholder management to help keep leadership priorities, governance routines, and cross-functional teams aligned.
This position supports an executive based in the UK.

Must have Johnson and Johnson work experience.

Key Responsibilities
Executive, Strategic, and Stakeholder Support

  • Act as a trusted partner to the executive, helping manage priorities, prepare briefings, and maintain focus on strategic objectives.

  • Prepare executive communications, presentations, reports, leadership updates, and board-level materials as needed.

  • Build strong relationships with senior leaders and serve as a central point of coordination across Technology, Data, Operations, Finance, and business teams.

  • Represent the executive professionally in internal and external engagements while maintaining discretion and confidentiality.

Project, Portfolio, and Governance Coordination

  • Coordinate multiple projects and workstreams across global teams, maintaining visibility of priorities, milestones, risks, dependencies, and decisions.

  • Develop and maintain project plans, action trackers, RAID logs, dashboards, and governance materials.

  • Track strategic initiatives from inception through completion, ensuring follow-up actions and commitments are completed.

  • Escalate risks early with recommended mitigation plans and drive accountability across project owners.

  • Coordinate leadership meetings, executive reviews, steering committees, agendas, meeting minutes, decisions, and next steps.

Operational and Administrative Management

  • Manage day-to-day operational activities, deadlines, deliverables, executive logistics, travel, documentation, and approvals where required.

  • Own and manage a complex global executive calendar, prioritising meetings based on business value and resolving scheduling conflicts proactively.

  • Coordinate cross-functional communication, ensuring stakeholders are informed, aligned, and prepared for key discussions.

  • Maintain confidential business information and support vendor, contract, budget, and administrative processes as needed.

Continuous Improvement

  • Identify opportunities to improve processes, simplify reporting, strengthen governance, and increase operational efficiency.

  • Recommend automation opportunities, collaboration tools, and best practices that improve execution and team effectiveness.

  • Document and standardise operating procedures to support consistency, scalability, and accountability.

Required Experience and Qualifications

  • 5+ years of experience supporting senior executives, leadership teams, global operations, or complex project portfolios.

  • Experience in roles such as Chief of Staff, Executive Assistant, Project Coordinator, PMO Analyst, Programme Coordinator, or Business Operations Manager.

  • Demonstrated ability to work across global organisations, multiple functions, and international time zones.

  • Experience preparing leadership materials, coordinating governance routines, and managing confidential information.

  • High school diploma or equivalent

  • Proactive, resourceful, collaborative, adaptable, results-driven, and able to anticipate needs before being asked.

Technical Skills
Proficiency with Microsoft Office 365, Teams, Outlook, Excel, PowerPoint, Word, SharePoint, OneNote, Planner, and common project / collaboration tools such as Jira, Confluence, Smartsheet, Monday.com, Asana, Microsoft Project, and Power BI is desirable.
