Receptionist/Administrative Assistant
Location: 100% Onsite 
Schedule: Monday–Friday, 8:30 AM – 5:00 PM (37.5 hours/week)
Pay Rate: $25.00/hour


Purpose

The Administrative Assistant will oversee front office operations for the Dean’s office, acting as the initial point of contact for students, faculty, staff, and visitors. This role requires strong customer service, organizational proficiency, and the capability to support both administrative and operational functions.


Key Responsibilities

  • Greet visitors and manage all front-desk interactions, demonstrating excellent customer service in a fast-paced, professional environment.

  • Screen and direct all incoming calls, relay messages, and monitor/respond to general email inquiries to the Dean’s office.

  • Provide campus information and parking guidance to visitors and coordinate logistics for events, conferences, commencement, and meetings.

  • Manage the Chief Operations Officer’s schedule and coordinate all meetings (Zoom and in-person).

  • Support office administration including ordering supplies, maintaining inventory, and handling office equipment needs.

  • Make recommendations and procure gifts for the Dean as requested.

  • Process and track office expense reports.

  • Assist with or manage special projects as assigned.

  • Maintain and use strong computing proficiency with Microsoft Office 365, Box, Concur, and Workday Finance.

  • Prioritize, organize, and coordinate multiple activities concurrently.

  • Draft correspondence, prepare documents, and handle confidential information with discretion.

Required Qualifications

  • High school diploma or equivalent.

  • Prior experience in a receptionist, administrative, or front office environment—preferably in higher education or executive settings.

  • Demonstrated proficiency with Microsoft Office 365 and other business applications (Box, Concur, Workday Finance).

  • Exceptional organizational, calendaring, and time management skills.

  • Outstanding verbal and written communication abilities.

  • Ability to maintain the highest level of professionalism and confidentiality.

  • Strong attention to detail and customer service focus.
