Pay: $21.00 – $24.00 per hour
Job Type: Full-Time
Schedule: Monday-Friday, 8:00 AM-5:00 PM
About the Role
We are seeking an experienced, professional, and customer-focused Medical Receptionist to join our busy healthcare practice in Yakima, Washington. This position serves as the first point of contact for patients, providers, referral sources, and visitors, making it a critical role within our organization.
The ideal candidate will thrive in a fast-paced medical environment, demonstrate exceptional organizational skills, and be committed to delivering outstanding patient service. Because our practice serves a diverse patient population, fluency in both English and Spanish is Preferred to ensure effective communication and support for our patients and their families.
In addition to traditional front office responsibilities, this role supports shipping and receiving functions related to medical devices and supplies. We are seeking a dependable professional who is looking for a long-term career opportunity within a growing healthcare organization.
Key Responsibilities
Patient Reception & Customer Service
- Welcome patients and visitors in a professional, courteous, and compassionate manner.
- Check patients in and out efficiently while maintaining a positive patient experience.
- Verify and update demographic, insurance, and contact information.
- Collect copayments, deductibles, and outstanding patient balances.
- Answer and route incoming calls using a multi-line phone system.
- Respond to patient inquiries and address concerns appropriately.
- Maintain strict HIPAA compliance and patient confidentiality.
- Provide bilingual assistance to Spanish-speaking patients and families.
Scheduling & Patient Coordination
- Schedule new patient consultations and follow-up appointments.
- Coordinate provider schedules to maximize efficiency and patient access.
- Confirm appointments and communicate scheduling changes.
- Maintain accurate patient records and scheduling calendars.
- Assist patients with appointment-related questions and requests.
Insurance & Medical Office Administration
- Verify insurance eligibility and benefits.
- Obtain referrals and prior authorizations when required.
- Accurately enter and maintain patient information within the electronic medical record (EMR) system.
- Scan, upload, and organize patient documentation.
- Process incoming and outgoing mail, faxes, and electronic correspondence.
- Prepare charts and paperwork for upcoming appointments.
- Support general administrative functions of the medical office.
Shipping & Receiving
- Receive deliveries of medical devices, components, and office supplies.
- Verify packing slips and identify discrepancies.
- Maintain accurate inventory records.
- Package and ship devices, repairs, warranty items, and supporting documentation.
- Coordinate shipments through UPS, FedEx, USPS, and other carriers.
- Maintain organized storage, inventory, and receiving areas.
- Assist with supply ordering and inventory management.
Office Operations
- Open and close the office according to established procedures.
- Maintain a clean, organized, and professional reception area.
- Monitor office supply inventory and coordinate replenishment.
- Support providers and staff with administrative and operational tasks.
- Assist with special projects and other duties as assigned.
Required Qualifications
- Minimum of 2 years of recent experience as a Medical Receptionist or in a medical office setting.
- Experience with insurance verification, referrals, prior authorizations, and patient scheduling.
- Experience using Electronic Medical Records (EMR) systems.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Strong customer service and communication skills.
- Excellent organizational and multitasking abilities.
- High level of attention to detail and accuracy.
- Ability to work independently while contributing to a team-oriented environment.
- Stable work history with strong professional references.
Preferred Qualifications
- Associate degree or higher.
- Bilingual fluency in English and Spanish.
- Experience working in a specialty medical practice.
- Knowledge of medical terminology.
- Experience with shipping, receiving, inventory management, or medical device handling.
- Additional healthcare administration certifications or training.

Physical Requirements
- Ability to sit, stand, and walk throughout the workday.
- Frequent use of hands for typing, filing, and handling packages.
- Ability to occasionally lift and carry up to 30 pounds.
- Ability to work at a computer for extended periods.
