Assignment Duration: Through January 4, 2027
Work Arrangement: On-site; not eligible for telecommuting
Position Summary
We are seeking a dependable and customer-focused Branch Office Support Specialist to support the daily operations of a busy branch office and Branch Manager(s). This position serves as an important point of contact for patients and customers while providing administrative, scheduling, documentation, billing, and equipment support.
Key Responsibilities
- Provide professional reception services, including answering phones and greeting patients and visitors.
- Support the Sales team with patient documentation and required paperwork.
- Process patient intakes, review customer information, and confirm delivery appointments.
- Complete post-delivery work order confirmation and data entry.
- Assist with patient scheduling and customer requests.
- Support Positive Airway Pressure (PAP) classes by preparing paperwork and instructions.
- Perform downloads from respiratory recording devices such as apnea monitors, oximeters, and CPAP devices as directed.
- Perform required functional testing of certain respiratory equipment.
- Support overnight oximetry programs.
- Handle documentation requests for audits and compliance purposes.
- Collect billing and payment information as needed.
- Scan, file, fax, and maintain patient records.
- Assist with warehouse and patient equipment preparation, including equipment setup and returns.
- Explain insurance coverage and out-of-pocket expenses to patients and collect payments when needed.
- Retrieve equipment from the warehouse and assist with daily receivables reconciliation.
- Make outbound customer satisfaction calls to patients and referral sources.
- Order inventory and office supplies.
- Perform other duties as assigned.
Qualifications
- High school diploma or GED required.
- 2+ years of office-related experience.
- Strong customer service and communication skills.
- Comfortable working with computers and entering information accurately.
- Excellent organizational and attention-to-detail skills.
- Ability to handle confidential patient and billing information professionally.
- Ability to work effectively in a fast-paced office environment.
- Healthcare, medical office, or durable medical equipment experience is a plus.
