About the Role
We are seeking a detail-oriented Fulfillment Associate – Document Management & Processing to support the accurate and timely handling of legal documents received by our offices.
In this role, you will help ensure that Service of Process (SOP) documents are properly identified, processed, delivered, and confirmed for our clients. Because these documents are time-sensitive, success requires strong organizational skills, careful attention to detail, and the ability to perform effectively in a fast-paced, high-volume environment.
Your work will play an important role in supporting customer service standards and fulfilling registered-agent responsibilities on behalf of our clients.
Key Responsibilities
- Review incoming documents and determine which qualify as legal Service of Process based on applicable statutes and industry standards.
- Process all SOP documents through the company’s proprietary website.
- Provide delivery instructions to receiving offices and forward scanned copies of documents to clients.
- Communicate with internal receiving offices and third-party vendors regarding document processing and delivery.
- Confirm delivery of SOP documents to end-user clients using email, phone, and FedEx tracking information.
- Respond to client questions regarding SOP documents and account tools associated with legal document management.
- Update client accounts as needed.
- Retrieve, sort, and distribute incoming mail.
- Scan governmental agency correspondence and other required documents.
- Log client correspondence into the RASi management system.
- Generate correspondence receipts and forward them to clients.
- Assist coworkers by sharing information, knowledge, and process improvements.
- Identify opportunities to improve efficiency and simplify workflows.
Qualifications and Skills
- High school diploma or equivalent required; some college coursework is highly preferred.
- Strong attention to detail and organizational skills.
- Ability to read, interpret, and accurately process state and legal documents.
- Analytical thinking, sound judgment, and problem-solving abilities.
- Ability to work independently with minimal supervision.
- Ability to collaborate effectively in a team environment.
- Comfortable working in a time-sensitive, high-volume setting.
- Strong written and verbal communication skills.
- Professional customer service and relationship-building skills.
- Ability to learn and use proprietary systems and account-management tools.
- Working knowledge of Microsoft Office products, including:
- Microsoft Outlook
- Microsoft Excel
- Microsoft Word
- Microsoft Outlook
- Experience with Adobe Acrobat preferred.
