Overview

We are seeking an experienced Administrative Assistant III to support a fast-paced operations team within a leading logistics organization. This role provides high-level administrative support, including document management, invoicing, reporting, and coordination across multiple departments.

This is an excellent opportunity for a detail-oriented professional who thrives in a structured, deadline-driven environment and enjoys working independently while supporting a larger team.


What You’ll Do

  • Provide high-level administrative support to leadership and operations teams

  • Prepare and process invoices, reports, memos, and financial documents

  • Organize, track, and maintain vendor invoicing and documentation

  • Manage records, filing systems, and confidential information

  • Review and distribute incoming communications and reports

  • Coordinate meetings, prepare agendas, and support scheduling

  • Order office supplies and assist with general office operations

  • Support bookkeeping and data tracking activities

What We’re Looking For

  • 5–7 years of administrative or executive support experience

  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint)

  • Excellent organizational, multitasking, and time management skills

  • Strong written and verbal communication skills

  • Ability to work independently and meet tight deadlines

  • Detail-oriented with strong follow-up and problem-solving skills

  • Experience supporting executives or leadership teams preferred

Nice to Have

  • Experience with invoicing, accounting support, or vendor coordination

  • Background in logistics, transportation, or operations environments

Requirements

  • High School Diploma or GED required

  • Must be able to maintain confidentiality and handle sensitive information

  • Must be proactive, reliable, and results-driven
