Job Summary
The Staffing Support professional (Recruiting Coordinator – Scheduling) is a key member of the HR Shared Services team, responsible for providing accurate, timely, and high-quality interview scheduling support. This role focuses exclusively on coordinating interview logistics, including calendar management and interview confirmations, to ensure a seamless experience for candidates and hiring teams.
This position is ideal for a highly organized individual who thrives in a fast-paced, service-oriented environment and values operational precision.
Core Responsibilities
Interview Scheduling (Primary Function)
- Manage all aspects of interview scheduling, including phone screens, virtual interviews, onsite interviews, panel interviews, and loop sessions.
- Coordinate calendars across multiple time zones, departments, and leadership levels.
- Send clear, professional calendar invitations with meeting links, agendas, instructions, and logistical details.
- Monitor and respond promptly to scheduling requests throughout the workday.
- Support urgent changes, last-minute reschedules, and interviewer substitutions with efficiency and professionalism.
Logistics & Candidate Support
- Reserve conference rooms and ensure readiness for onsite interviews.
- Provide candidates with clear directions, arrival instructions, and access information.
- Troubleshoot basic technical or access issues to ensure a smooth interview experience.
- Maintain strict confidentiality when handling candidate and employee information.
Systems & Documentation
- Maintain accurate scheduling notes and updates in internal systems and Shared Services tracking tools.
- Partner closely with recruiters and hiring teams to ensure alignment on interview timing and expectations.
- Track scheduling activity to ensure service-level consistency and timely completion.
Required Qualifications
- 1–3 years of experience in high-volume scheduling, administrative coordination, or calendar management.
- Strong attention to detail with excellent organizational and time-management skills.
- Clear and professional written and verbal communication skills.
- Proficiency in Outlook, Microsoft Teams, or similar scheduling platforms.
- Ability to work fully onsite Monday–Friday, 8:00 AM–5:00 PM.
- Customer-focused mindset with the ability to handle sensitive and confidential information.
Preferred Qualifications
- Experience in HR, recruiting coordination, or a Shared Services environment.
- Familiarity with applicant tracking systems (ATS) such as Workday or Eightfold.
- Experience supporting fast-paced, high-volume teams across multiple time zones.
