Location: Los Angeles, CA
Work Arrangement: Hybrid (Onsite: Mon/Wed/Fri; Remote: Tue/Thu – schedule non-negotiable) / 9am–5pm PST, 0.5hr lunch
Pay Rate: $27.00/hr
Laptop Requirement: Candidate must provide a personal laptop for remote work; the device will be configured for secure access.

Role Overview

The Administrative Project Specialist will support the operational and project management needs of IAS, reporting to the Chief Programs and Communication Officer (CPCO). This role optimizes the Institute’s administrative infrastructure, coordinates major initiatives, and promotes activities through collaboration with USC faculty, staff, and community partners.


Key Responsibilities

  • Coordinate Institute-related operational activities and projects.

  • Support IAS staff by managing daily operations: travel booking, event planning, supply orders, invoice processing, manuscript submission, copyediting, social media/online presence, phone/email correspondence.

  • Maintain and build a catalog of program-related activities (publications, grants, projects, outreach, clinical services).

  • Monitor, track, and support strategic initiatives; draft reports and dissemination materials.

  • Execute project plans, adjust timelines in response to changing needs, and report progress to CPCO.

  • Assist with data collection, documentation preparation, and timeline management.

Qualifications

  • Bachelor’s degree required (Public Health or related field preferred).

  • Minimum 2 years of relevant professional experience.

  • Exceptional organizational, time management, and multitasking abilities.

  • Excellent interpersonal, verbal, and written communication skills.

  • Proven ability to thrive in a collaborative environment and be self-motivated with attention to detail.

  • Proficiency with Microsoft Office; experience with WordPress/web design, REDCap, Adobe Creative Suite, or Workday a plus.

  • University environment experience preferred.

  • Research support skills: CV/biosketch updates, grant writing, figure/table formatting, document review, presentation development preferred.
