Kelly, in collaboration with Johnson and Johnson, is seeking an Administrative Assistant to provide comprehensive support to the Vice President, R&D Biosurgery, the R&D team, and the Senior Executive Assistant. This role focuses on managing key administrative functions to ensure the continued effectiveness and efficiency of the department.


Key Responsibilities

  • Manage calendars for the supervisor, resolving scheduling conflicts, and assist with meeting coordination.

  • Handle complex travel arrangements in alignment with company policies and prepare expense reports as needed.

  • Publish internal communications and general announcements.

  • Maintain and update organization charts and departmental distribution lists.

  • Coordinate interviews and facilitate the onboarding process for new R&D associates.

  • Address highly confidential matters with professionalism, discretion, and good judgment.

  • Oversee departmental supply management to maintain a productive office environment.

  • Proactively undertake administrative projects and support overflow tasks from the Senior Executive Assistant.

  • Exhibit high learning agility and proactively manage requests in a fast-paced, dynamic environment.

  • Collaborate with team members and contribute to a positive and effective work environment.

Experience and Education

  • High School diploma required; Associates or Bachelor’s degree preferred.

  • Minimum of 5 years of administrative experience in a fast-paced setting.

  • Proven experience in executive environments.

  • Proficiency in systems such as MS Office, Concur, Skype, IRIS, eMarketplace, and SharePoint.

Required Knowledge, Skills, and Abilities

  • Exceptional verbal and written communication skills.

  • Strong organizational and problem-solving capabilities.

  • Ability to manage multiple priorities under time constraints.

  • Demonstrated judgment and proactive problem-solving skills.

  • Capacity to work independently with minimal supervision.

  • Strong teamwork and interpersonal skills, including presentation abilities.
